How we handle children's data

What we hold
For each child in the programme: name, date of birth, squad, attendance at sessions, coach observations of what happened in session, periodic developmental assessments across six domains, and gradings, certificates and competition results.
Why
To coach the child, and to report their development to their parent or guardian. Nothing here is used for advertising, sold, or shared with a third party.
The legal basis
Consent, given by a parent or legal guardian, recorded in this system with a timestamp and the exact wording that was agreed. Where the child is old enough to understand, we also record that the child was told and agreed.
Who can see it
- The coaches assigned to that child's squad — and no other squad.
- The parent or guardian linked to that child — and no other child.
- The administrator, whose every access is logged like everyone else's.
What we deliberately do not do
- We do not calculate an overall talent score.
- We do not rank children against each other, publicly or privately.
- We do not publish any child's record.
Logging
Every time a child's record is opened, that access is written to an audit trail: who, when, from what address. A guardian may ask to see the trail for their own child.
How long we keep it
At most 5 years after the child leaves the programme, after which records are erased.
Your rights
- Ask for a copy of your child's record.
- Ask for anything inaccurate to be corrected.
- Withdraw consent at any time — collection stops immediately.
- Ask for the record to be erased.

Breach
If we discover that this data has been exposed, we will tell affected guardians directly and describe what happened, what was affected, and what we have done about it.
